The Opportunity

• Remind annotators when invoices are due.
• Review the timekeeping tool for accuracy and ensure all annotators are using it as instructed.
• Audit invoice hours against client tools to ensure accuracy.
• Prepare annotator invoices.
• Assist with preparing client and contractor invoices (pull hours out of the tracking system, total the hours, and apply the correct cost codes).
• Assist Project Manager with onboarding new annotators by ensuring all information is collected and submitted to both the client and Vituity systems.
• Help ensure new hires have completed all onboarding requirements as instructed by the client and Vituity.
• Assist Project Manager with separations by ensuring all client databases are up to date and hardware is returned.
• Assist the Medical Director and Project Manager with the weekly/monthly/quarterly reports by pulling data and creating reports as well as analyzing data.
• Keep all client databases up to date with the most accurate metrics weekly.
• Prepare monthly cost projections.
• Ensure all annotators complete new certification training as the client releases it.
• Ensure annotators complete assigned tasks by the deadline.
• Create operational and administrative resources (e.g., internal operating procedures) and maintain currency and relevancy of existing resources.
• Collect annotators weekly hour requests. Use these preferences to create weekly task assignments every Friday and as needed throughout the week.
• Assign tasks from datasets in the appropriate order as instructed by the Project Manager.
• Serve as the main contact when an annotator has last-minute tasks request, including weekends/evenings.
• Serve as the main contact when an annotator is unable to complete their tasks and find other annotators who can pick up the tasks before the deadline.
• Assist Project Manager in regulating annotator hours and ensuring they are in accordance with the clients’ needs.
• Select the most qualified workers for datasets based on the requirements set by the client.
• Assist with other task assignment duties as directed.
• Regularly report to the Project Manager any problems and/or bugs that have been reported by the medical annotators.
• Regularly report to the Project Manager the progress and spend of each dataset.
• Coordinate weekly tasks assignment communications with the annotator team.
• Help communicate employee changes to the Project Manager, such as decreased hours worked by annotators.
• Participate in and lead routine touch base calls with the Project Manager.

Required Experience and Competencies

• High diploma or equivalent required.
• One (1) year of experience providing project support and coordination required.
• Previous healthcare experience preferred.
• Strong writing skills, legibility, and spelling proficiency.
• Working knowledge of G-Suite environment (Google platform).
• Professional demeanor with timely, strong interpersonal and communication skills; must be a team player.
• Excellent organizational skills.
• Active listening skills.
• Knowledge of medical terminology.
• General knowledge of the healthcare field.
